Field Service Management Software for UAE Contractors

Founder and CEO, Accucia Softwares Pvt. Ltd.

Quick Answer

Field service management software for a UAE maintenance contractor has to hold the annual maintenance contract per asset, generate the preventive visits from it, run an SLA clock on every breakdown call, capture parts, photos and the customer's signature on an offline technician app, and produce the inspection certificate at the end. Accucia Softwares Pvt. Ltd. builds and runs this from Pune, India, and the same platform is already in production with service companies in the UAE, Saudi Arabia and Bahrain. What a UAE maintenance contractor actually needs the software to hold

Start with the asset, not the technician. A maintenance contractor in Dubai or Abu Dhabi is paid against contracts attached to equipment: lifts, HVAC plant, fire systems, generators. Everything the business needs to know hangs off that asset record.

If a product on your shortlist is organised around people and days rather than assets and contracts, it is a staff-tracking tool wearing a field service label. We wrote up what to make the vendor show in the demo before you sign, and the nine checks apply in Dubai exactly as they do in Pune.

The technician's phone in a Dubai basement

Plant rooms do not have signal. Lift shafts do not have signal. Half the real work in a facilities contract happens in places where the phone shows one bar or none.

So the technician app has to work offline. Job details, asset history, the inspection checklist, parts, photos and the customer signature are all captured with no connection, and they sync when the device finds one again. The alternative is that the technician finishes the job on paper and types it in at the end of the day, which means the system holds what was remembered rather than what happened.

This is the single feature that decides whether field software gets adopted, and it is the first thing to test. Put the phone in flight mode, open a job, do the checklist, take a photo, sign, reconnect. If the record arrives intact, the product is real.

Already running in three Gulf countries

Built in Pune, trusted across the Gulf. One field service platform powering maintenance operations in the UAE, Saudi Arabia, and Bahrain.

We do not ask UAE buyers to take this on description. The field service platform we build on is the same one behind ElevatorPlus, which has more than 2,000 users across 20 or more countries, and it is in production today with:

  • EPIC ME Technical Works LLC, United Arab Emirates
  • Triolift, Saudi Arabia
  • Gulf Integrated Vertical Solutions, Bahrain

All three are elevator service companies, which is a demanding version of the field service problem: statutory inspections, contracts on every unit, breakdown calls with people waiting, and technicians working in shafts and machine rooms. We described how the elevator service system runs across the UAE, Saudi and Bahrain in a separate case study. The mechanics transfer directly to HVAC, fire systems, generators and general facilities maintenance, because the shape of the work is the same: an asset, a contract, a schedule, a call, a visit, a certificate.

In India, Eros Elevators and Ashok Traders run the same kind of system, and the Maharashtra statutory inspection format is already built into it. Where the UAE has an equivalent record for your equipment class, we scope that format during discovery and build it in before go-live.

The commercial mechanics for a UAE buyer

Simplifying cross-border software partnerships: UAE tax compliance, shared working hours, and reliable support from Pune.

This is the part that surprises people. Engaging a software company in India for this work is a cleaner transaction than most UAE operators expect.

VAT. Under Article 48 of Federal Decree-Law No. 8 of 2017, a VAT-registered UAE business buying services from abroad self-accounts for VAT under the reverse charge. It declares the output tax and recovers the input tax in the same return. If you are a registrant who can recover input VAT in full, the net cash cost of that VAT is nil.

Withholding. There is currently zero withholding tax on cross-border service payments from the UAE. Your finance team books the invoice, applies the reverse charge, and moves on.

The working week. Most UAE private sector businesses now work Monday to Friday, so your team and ours share the same week with a 90 minute time offset. The private sector sets its own weekend, so confirm the actual working days of your counterpart rather than assuming. The January 2022 change applied to federal government entities and schools; as Addleshaw Goddard's briefing on the new working week puts it, "strictly speaking, the change does not specifically apply to the private sector."

Where we are. Accucia Softwares Pvt. Ltd. is headquartered in Pune, India. We have no office in the Gulf and we say so plainly, because a contractor evaluating us deserves to know exactly where the people answering the phone sit. The three clients above were won and are supported from Pune. Our trust page sets out how data, access and support are handled.

What the engagement looks like

A field service engagement with us does not start with a licence. It starts with your contracts.

First, discovery. We take your contract templates, your SLA terms, your preventive maintenance frequencies and your inspection formats, and map them into the system. This is where the configuration decisions get made, with your operations head in the room, and where any UAE-specific record format for your equipment class gets scoped.

Then a controlled go-live. Assets and contracts are loaded, technicians get the app, and one team runs live alongside the old process. The old process is kept until the new one has survived a full billing cycle, because that is the only test that counts.

Then the rest of the operation moves over, reporting is switched on for the owner, and the first SLA compliance report comes out of the system rather than a spreadsheet. How long each phase takes depends on how many assets and contract types you hold, which is the first thing we ask.

After that we stay. Named engineers, a written escalation path, and changes made as your contracts change. The companies that have been with us longest did not stay for the launch; they stayed because someone answered in month nine.

Questions to ask any field service vendor before you sign in the UAE

Six essential questions every UAE contractor should ask before choosing field service software. Get clear answers before you sign.

These apply whether the vendor sits in Dubai, Pune or anywhere else. Ask them in writing and keep the answers with the contract.

  1. Where does our data sit, who can reach it, and how do we get a full export if we leave? A vendor who cannot answer the third part in one sentence is planning on you not leaving.
  2. Who answers in our working hours, by name? Not a helpdesk address. A person, a backup person, and the escalation path above them.
  3. Show us the offline job card on a phone in flight mode, now. If the answer is "it is on the roadmap", the technicians will be on paper within a month.
  4. Which of our inspection or statutory record formats are already built, and which will be scoped? Both answers are acceptable. Only one is a finished feature, and the other needs a date in the contract.
  5. How is the invoice raised for VAT purposes? For a supplier outside the UAE, the answer should be a reverse charge under Article 48 of Federal Decree-Law No. 8 of 2017, with your finance team self-accounting. If the vendor cannot explain this, your accountant will have to.
  6. What changes in month nine when our contract templates change? The honest answer describes a process and a person. A ticket queue is also an answer, and it tells you what year two will feel like.

Common mistakes UAE contractors make when buying field software

Choosing on office address. A vendor two streets away whose engineers do not pick up is further away than one in Pune who does. Judge by who answers after go-live, and ask for references you can call.

Buying for the owner's dashboard. The owner sees the product for ten minutes a week. The technician lives in it. If the technician's screen was not part of the evaluation, the evaluation missed the part that decides adoption.

Loading technicians before contracts. Field service software with no contracts in it is a staff-tracking app. The contracts, their schedules and their SLA terms go in first, so that the first jobs the technicians see were generated by the system and not typed in by a coordinator.

Assuming the working week. Most private firms in the UAE run Monday to Friday, but the private sector sets its own weekend, and Friday is often short. Confirm your own counterpart's days before planning support hours around them.

Treating the plant room as an edge case. It is where the contract is actually performed. Test there.

What this looks like in month three

By the end of the first quarter after go-live, a UAE contractor should be able to see the following without asking for a report. Every active AMC is in the system with its SLA terms and billing cycle, and the quarter's preventive visits were generated from those contracts. Breakdown calls carry a response clock that started when the call was logged. Technicians close jobs on the phone on the day of the visit, including in basements and shafts, because the offline test was passed on site before go-live. The first SLA compliance report by contract and by technician has been produced from live data, and the first customer who disputed a response time was answered with a timestamp. Billing for the quarter followed the contract schedule rather than a reminder.

None of those are percentages a vendor can promise in a proposal. They are conditions a contractor can check, and if month three does not look like this the cause is usually one of the mistakes above.

Accucia's view

A UAE maintenance contractor should buy field service software for the asset and the contract, test it on the technician's phone offline, and choose a supplier by who answers after go-live rather than where their office is. The tax mechanics make an Indian supplier a clean choice, the three Gulf deployments make it a proven one, and the plant room makes the offline test non-negotiable.

FAQ

Can a UAE company use field service software built and supported from India?

Yes. Accucia Softwares Pvt. Ltd. builds and supports its field service platform from Pune, India, and it is in production with service companies in the UAE, Saudi Arabia and Bahrain. Most UAE private sector businesses work Monday to Friday, so the two teams share the same working week with a 90 minute time offset.

How is VAT handled when a UAE business buys software services from India?

Under Article 48 of Federal Decree-Law No. 8 of 2017, a VAT-registered UAE recipient self-accounts for VAT on imported services under the reverse charge, declaring output tax and recovering input tax in the same return. Where input VAT is fully recoverable, the net cash cost is nil. There is currently zero withholding tax on such payments.

Does the technician app work without internet in a plant room?

Yes. Job details, asset history, inspection checklists, parts, photos and the customer signature are captured offline and synced when the device reconnects. This is the feature that decides adoption, because technicians in basements and lift shafts otherwise go back to paper.

What should a UAE contractor load into field service software first?

The contracts, before the technicians. Each AMC or warranty contract goes in with its SLA terms, billing cycle and preventive maintenance frequency per asset, so that the system generates the first jobs the technicians see. Loading technicians first produces a staff-tracking tool with empty contract records, which is the most common reason a rollout stalls.

Does Accucia have an office in the UAE?

No. Accucia Softwares Pvt. Ltd. is headquartered in Pune, India, with no office in the Gulf. Its UAE, Saudi and Bahrain clients were won and are supported from Pune, with named engineers and a written escalation path.
